Course Registration, Refund, and Cancellation Policies
1. Refunds, Transfers, and Cancellations
1.1. Students may request a full refund or a transfer to an alternative course, provided such request is made no less than 72 hours prior to the scheduled commencement of the course.
1.2. No refunds, course transfers, or cancellations will be granted within 72 hours of the scheduled course commencement, nor once the course has commenced.
1.3. Once the 72-hour window has elapsed or the course has started, the registration is deemed final, and no refunds or transfers will be processed.
1.4. Refunds shall not be issued once a course certificate has been awarded, regardless of the circumstances.
2. Student Responsibility in Course Selection
2.1. The student bears sole responsibility for ensuring that the selected course and associated certification meet the specific requirements set forth by their employer, educational institution, or any other relevant authority prior to completing registration.
2.2. It is strongly advised that students verify the compatibility of the chosen course with any applicable institutional or workplace criteria before proceeding with enrollment.
2.3. No refunds shall be issued for incorrect course selection after the 72-hour period prior to the course commencement or once the course has commenced, and no refund shall be granted following the issuance of a course certificate.
3. Course Requirements and Code of Conduct
3.1. Language Proficiency: Students must possess a sufficient level of English language comprehension to participate fully in all course activities, including assessments.
3.2. If language barriers impede a student's ability to fully participate, the student may retake the course at no additional charge, provided they successfully complete both the skills demonstration and written examination.
3.3. If the student fails to meet course requirements after a second attempt, they shall be required to pay the full course fee to retake the course.
3.4. Behavioral Expectations: Students are required to demonstrate respectful behavior and adhere to all instructions during the course. Any disruptive or inappropriate conduct may result in removal from the course, with all fees forfeited.
3.5. Physical Requirements: Students must be capable of performing physical activities, including floor-based work, as part of the course. Students with disabilities or physical limitations must contact customer service prior to registration to confirm that they meet the necessary participation requirements.
3.6. Medical Disclosure: All relevant medical conditions or physical limitations that may affect the student’s ability to participate in or complete the course must be disclosed at the time of registration. Failure to disclose such conditions may result in the denial of participation and forfeiture of fees.
4. Course Upgrades
4.1. Students may request an upgrade to a higher-level course within 30 days of completing the original course.
4.2. After the 30-day period, the student will be required to pay the full price for the upgraded course.
4.3. Requests for course upgrades within the 30-day period will result in a fee adjustment, with the student only being responsible for the difference in course price.
4.4. To be eligible for an upgrade, the student must have completed all components of the original course, including the skills demonstration and written examination.
5. Non-Attendance and Late Arrival
5.1. Failure to attend a scheduled course without prior notice will result in the forfeiture of all course fees.
5.2. Students arriving more than 10 minutes after the scheduled course start time will be denied entry to the course. No rescheduling or refunds will be permitted within 72 hours of the scheduled start time or once the course has commenced.
5.3. In the event of a late arrival, students will be required to pay the full course fee and a $25 rescheduling fee to retake the course.
6. Rescheduling and Break Policies
6.1. Students are required to adhere to the scheduled break times during the course.
6.2. Failure to return promptly from breaks may necessitate rescheduling the course, subject to a $25 rescheduling fee.
7. Course Completion and Examination Requirements
7.1. To successfully complete the course, students must pass both the skills demonstration and written examination. The instructor shall assess the student’s performance and determine whether the course has been successfully completed.
7.2. If a student fails either component, the course shall be deemed incomplete, and both components must be successfully completed for certification to be awarded.
7.3. Retake Policy: Students who fail the course may retake it free of charge, provided both components were attempted in the original course. Should the student fail again, they will be required to pay the full course fee to retake the course.
8. Downgrade Policy
8.1. Downgrades to a different or lower-level course are prohibited once a course has been purchased. Students must ensure they select the correct course at the time of booking.
9. Administration Fee
9.1. All course fees are inclusive of a non-refundable $25 administration fee, which will be charged at the time of initial registration.
10. Child and Guardian Policy
10.1. Children, including babies, are not permitted in the classroom under any circumstances.
10.2. Children aged 12-16 may attend the course, provided they are accompanied by a guardian at all times.
10.3. Courses involving children aged 12-16 must be scheduled on weekdays. Failure to comply with this requirement will result in a $25 rescheduling fee.
11. First Aid Certification
11.1. Upon successful completion, students will receive a certificate that adheres to the latest CSA standards, which are required by workplaces and schools.
12. Replacement Certification
12.1. In the event that a student loses their certification card, a replacement may be requested for a fee of $25. The replacement card must be collected from the location where the original course was completed.
13. Course Cancellations by the Organization
13.1. The organization reserves the right to cancel any course if the minimum class size, as mandated by provincial regulations, is not met.
13.2. In the event of course cancellation, students will be given the option to either reschedule or receive a full refund.
13.3. The organization shall not be held liable for any costs incurred by the student due to the cancellation of the course, including but not limited to travel and accommodation expenses.
14. Recertification
14.1. Students must ensure their certification is valid on the day of the course. No refunds or transfers will be granted to students without a valid certificate at the time of the course.
14.2. If a student’s certification has expired or is otherwise invalid, they must purchase the relevant course to meet recertification requirements.
15. Online and Blended Courses
15.1. Online or blended courses are non-refundable once purchased.
15.2. Students must register for the in-person component of the course within 45 days of purchasing the online portion. Failure to do so will require the student to repurchase the online portion to continue with the in-person component.
15.3. Rescheduling of the in-person component must occur at least 72 hours prior to the scheduled course start time. No rescheduling or refunds will be granted within 72 hours of the course start time.
15.4. If a student misses the in-person component, they will be required to pay the full course fee to retake the class.
16. Medical Emergencies
16.1. In the event of a medical emergency, the organization may, at its discretion, allow rescheduling outside of the usual policy provisions, subject to a $25 rescheduling fee.
16.2. A doctor’s note, including the contact details of the attending physician, must be submitted to support any request for rescheduling due to medical emergencies.
17. Cash Payment and Non-Attendance
17.1. Students who opt to pay in cash and fail to attend the course must pay the full course fee via credit card, along with a $25 rescheduling fee, in order to reschedule the course.
18. Force Majeure
18.1. The organization shall not be held liable for any delays or failure to perform its obligations under these policies due to circumstances beyond its control, including but not limited to natural disasters, pandemics, government restrictions, or any other unforeseen emergencies.
3M Mask Fit Testing – Terms and Conditions
1. Facial Hair and Fit Test Requirements
1.1. The participant must arrive with a clean-shaven face in all areas where the mask makes contact, specifically around the nose, mouth, and chin.
1.2. A proper seal is essential for the mask to function correctly. Facial hair may prevent a secure seal and result in an unsuccessful fit test.
1.3. Participants should ensure they are clean-shaven prior to the test. Should the fit test fail due to facial hair, the participant will be required to pay the full price for a subsequent test.
2. Fragrance and Scent Restrictions
2.1. The participant is prohibited from wearing strong fragrances, including perfumes, colognes, lotions, or any other scented products prior to the fit test.
2.2. Strong scents may interfere with the qualitative fit test, particularly if taste or smell is utilized in the testing process, leading to inaccurate results.
3. Restrictions on Smoking, Eating, and Drinking
3.1. The participant must refrain from smoking, eating, or drinking for at least 15 minutes before the scheduled fit test.
3.2. Smoking, eating, or drinking prior to the test may alter sensory responses, potentially invalidating the results.
4. Respiratory Conditions and Fit Test Eligibility
4.1. Participants with respiratory conditions such as colds, asthma, or other medical concerns should notify the organization prior to scheduling the fit test. Rescheduling may be advised to ensure accurate results.
5. Non-Compliance and Rescheduling
5.1. Failure to comply with the above requirements may result in an unsuccessful fit test, requiring the participant to pay the full cost for a new test and schedule a subsequent appointment.
Liability Release and Acknowledgment
By registering for and participating in any course, the student acknowledges and agrees to the following terms:
- Â Assumption of Risk: The student recognizes that First Aid training involves physical activities, including floor-based exercises, and voluntarily assumes all risks related to participation.
- Waiver of Liability: The student releases the organization, its instructors, employees, and affiliates from any and all liability for injuries, damages, or losses sustained during or after the course, regardless of cause.
- Use of Knowledge: The student assumes full responsibility for any actions taken based on knowledge gained during the course, including First Aid or emergency response actions. The student acknowledges that First Aid training does not replace professional medical care.
- Medical Disclosure: The student agrees to disclose any medical conditions, physical limitations, or other relevant factors that could affect their ability to participate safely in the course.
Mask Fit Testing Liability Release Agreement
By participating in the mask fit testing, the participant acknowledges and agrees to the following terms:
- Acknowledgment of Risk: The participant acknowledges that wearing a respirator for extended periods may cause discomfort or adverse reactions.
- Waiver of Liability: The participant releases the organization from liability for any claims or damages arising from the mask fit testing process.
- Fit Test Guarantee: While the organization will make reasonable efforts to ensure an adequate fit, no guarantee is made that the mask will fit all participants.
- Health Confirmation: The participant confirms they are in good health and capable of completing the fit test. Any known health concerns must be disclosed prior to testing.
- Indemnity: The participant agrees to indemnify the organization against any claims, damages, or liabilities arising from participation in the mask fit testing process.
By enrolling, the student accepts the terms and conditions, and agrees to indemnify and hold harmless St Mark James Training/Kelowna First Aid and its affiliates from any claims arising out of their participation in the course, including claims arising from negligence or failure to comply with these policies.
